1. Who holds your data
BrandedRelay is operated by Branded Relay, LLC. This policy covers brandedrelay.com and every brand program running on a brandedrelay.com subdomain.
Creators. When you apply to a program, we hold your information as the business responsible for it, and we share the parts the brand needs to run its program with that brand.
Returning customers. If you are a customer returning an item, we receive limited information about you from the brand, and we handle it on that brand’s instructions. The brand’s own privacy policy governs how it collected that information in the first place.
Each brand’s data is kept separate. One brand cannot see another brand’s creators, applications, or offers.
2. What we collect
If you apply as a creator
- Your name, email address and mobile number
- Your street address, city, state and ZIP code
- Your social handles — Instagram, and optionally TikTok, YouTube and Pinterest
- The kinds of content you make
- A photo of the space where a piece would live
- Whether you agreed to receive texts, and to the creator terms
If you are approved
- A grade given by the brand that approved you. It is that brand’s own, it is not shown to you, and it does not follow you to any other brand.
- When you last used your profile, so we can see whether people are getting on with it. It is a single timestamp, kept for no longer than the rest of your account, and it is never shown to a brand.
- Which offers you were sent, which you claimed and when, and whether you are currently paused
- Links to the content you submit
- Where a program requires a deposit: the amount, and the payment reference our processor returns. We never see or store your card number.
If you are a returning customer
You did not sign up with us. You asked a brand to take something back, and they use us to get it collected. So this section says exactly what we are given and when, because the honest version of that changed and the old one is worth naming: we used to say we never contacted you at all, and for a return that is collected from your door that was not going to stay true.
Always: where the item is, coarsely — ZIP code, city and state — what it is, and whether you agreed to it going to a local creator. This is all we need to find someone near it, and for many returns it is all we ever hold.
Only when a collection is being arranged: your name, the address it is being collected from, your phone number and your email address. A courier cannot be sent to a ZIP code. We ask the brand for these at the point a pickup is being booked and not before, and we use them to arrange that collection and for nothing else.
The brand tells you first. Before we contact you, the brand you bought from tells you that BrandedRelay is handling the collection and will be in touch. If a message from us is the first you have heard of us, treat it with suspicion and contact the brand — that is not how this is supposed to work.
We contact you about one thing: arranging the collection. We do not market to you, we will not add you to a list, and once the item has been collected we have no reason to write to you again.
The creator never sees your details. Not your name, not your address, not your phone number. They are told a piece is available near them and where to be; the two ends of a relay are deliberately kept apart.
If you inquire as a brand
Your brand name, your name, your email address, your website, and whatever you write in the message.
Automatically
Standard server logs from our hosting provider, and a sign-in cookie once you log in. We do not use advertising or analytics cookies, and we do not track you across other sites.
We do count page views, so we can tell whether the pages we build are working. That record holds the page address, which brand’s site it was on, the website you arrived from (its address only, never the full link), a rough location, and the time. It is kept by us and shared with nobody.
The rough location is a country, a state and a nearby city, worked out by our hosting provider from the connection. We never read or store your IP address itself.
To tell one visit apart from several page views, your browser holds a random number for as long as that tab stays open. It is not a cookie, it is not linked to your name or your account, it is not shared with any other site, and it is gone when you close the tab.
Your activity on your account
Separately from the page counting above — which is not linked to anyone — we keep a record of what you do on your own account, and that record does have your name on it. It holds when you signed in, which parts of your profile you changed and when, when an offer reached you, when you claimed one, and when you submitted content.
It records things you did, not pages you looked at. There is no browsing history here. We keep it so that we and the brands you have joined can see whether your profile is complete and whether you are still active — the same questions you can answer about yourself on your own profile page.
Only BrandedRelay staff and staff at brands you have applied to can see it. It is deleted when your profile is, including where we keep a claim record for tax purposes.
3. Why we use it
- To review your application and run the program you applied to
- To work out which offers are near you, and to notify you about them
- To arrange the handoff of an item you have claimed
- To track deliverables, and to take and refund deposits
- To keep the platform secure and to prevent abuse
- To meet our legal and tax obligations
We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
4. Address and location
Your address is the core of how this works. We convert your ZIP code into approximate coordinates and use the distance between you and an item to decide whether, and when, you hear about it — nearest creators first, widening while a piece stays unclaimed. That is how a return travels the shortest distance it can.
We derive this from the address you type. We do not read your device’s location. If you move, updating your address in your profile re-derives it.
5. Photos
Photos you upload are stored with our storage provider at addresses that are long and randomly generated, so they cannot be guessed or listed.
They are not, however, password-protected. Anyone given the exact address of a photo can open it. Please do not upload anything you would not want seen by someone who was handed the link.
6. Texts and email
We email you when an item opens up near you, and text you as well if you opted in. Message frequency varies and depends entirely on what comes back near you. Message and data rates may apply. Reply STOP to any message to stop receiving them; that ends offer texts and does not by itself close your account.
We email you a sign-in link when you ask for one, and when your application is approved. These are service messages, not marketing, and are needed for the account to function.
7. Who we share it with
The brand whose program you join sees your application and your creator profile — including your name, contact details, address, handles and photo — because it is the brand that decides whether to send you an item and where to send it.
These providers process data on our behalf:
- Vercel — Website hosting and delivery (United States)
- Supabase — Database, sign-in, and file storage (United States (N. Virginia))
- Twilio — Text messages about offers, where a creator opts in (United States)
- Postmark — Email about offers, sign-in links and content reminders (United States)
- Stripe — Deposit payments and refunds, where a program requires one (United States)
We may also disclose information where the law requires it, to protect our rights or someone’s safety, or to a successor if the business is sold. We do not otherwise share your information.
8. How long we keep it
- Declined applications: up to 12 months, then deleted.
- Active creators: for as long as you are in a program, and for 24 months after your last activity.
- Claims, deposits and tax records: up to 7 years, where we are required to keep them.
- Item and offer records: up to 24 months.
- Collection details for a returning customer — name, address, phone, email: 90 days after the item is collected, then deleted. Not 24 months, and not for as long as the relay record lives. It is the most sensitive thing we hold about somebody who never signed up with us, it stops being useful the moment a courier has been, and the record of the relay itself survives without it.
That last one is enforced in the software rather than promised here. Every collection record is written with the date it must be deleted on, and a scheduled job deletes it. A retention rule that lives only in a privacy policy is a rule nobody runs.
9. Security
Traffic is encrypted in transit. Data is held in a database that rejects all access except from our own servers, and the administrative interface is behind authentication. Uploads are checked and restricted to image formats.
No system is perfectly secure. If a breach affects your information we will notify you as required by law.
10. Your rights
You can ask us to give you a copy of your information, correct it, delete it, or stop using it, by writing to privacy@brandedrelay.com. Much of it you can change yourself in your profile, and you can close the account yourself from Edit profile without asking us at all.
Deleting your account removes your profile, your photos, your past work and your sign-in. If you have never claimed a piece, nothing of you is left. If you have, the record of that claim stays — claiming moves something of value, so the brand and we both have to be able to show what happened, for as long as section 8 sets out — and everything identifying you is removed from it. While content is still owed for a piece you claimed, we cannot close the account; post it, or write to us and we will sort it out.
California residents. You have the right to know what we collect, to delete it, to correct it, and to limit the use of sensitive information, and not to be treated differently for exercising those rights. As above, we do not sell personal information or share it for cross-context behavioral advertising.
We will verify your identity before acting on a request, and will respond within the time the law allows.
11. General
Children. The service is for adults. We do not knowingly collect information from anyone under 18; if we learn we have, we delete it.
Where data is held. Our providers store data in the United States. If you are outside the US, using the service means your information is processed there.
Changes. We may update this policy. The date at the top shows the current version.
